Restrictions

The following guidelines and policies are applied during WCN:

  • Companies are not permitted to organize unofficial industry symposia or similar corporate-organized events that are open to general congress participants to attend, either on or off-site.
  • WCN logo/branding may not be used in ancillary events.
  • Small meetings may take place in parallel with congress sessions provided they do not convene large groups of people and are limited in time (no full- day meetings are allowed).
  • Meetings may only be attended by invited participants and may not be open to the general congress participants.

Access

The rental rates cover 8:30 am to 7 pm from February 6-8, and 8 am – 1 pm on February 9, 2025.

A member of staff will be there to open and lock the door at the designated times. If you need to lock the room in between those times, please reach out to a member of staff on-site.

Kindly take note of the regulations regarding meeting spaces (found in Information for All). The business meeting rooms are designated for private gatherings with invited attendees and may not be accessible to all congress participants.

 

Security

Companies take full responsibility at all times for the security of their meeting rooms and the personal and/or venues items in them. Occupants may only leave belongings overnight if consecutive days are booked, at their own risk.

 

Catering

It is possible to organize additional catering for your meeting room. Please find below a menu with the different options.

Where are the rooms?

The meeting rooms are all located in the congress center – the Yashobhoomi (India International Convention and Expo Centre).

Meeting rooms 1 & 2 are located on the floor 2.

Meeting rooms 3 – 7 are located on floor 3.

Meeting rooms 8 & 9 are located on floor 4.

 

What is available in the room?

Each of the meeting rooms are set-up in the following way:

  • Boardroom set-up
  • Screen/projector
  • Water will be available on table

If you require a change in set-up and or additional AV equipment, please get in touch with wcn25@meetingsnmore.com by January 27, 2025.

Business lounges are located on floor 5. Each room will have a reception desk with two chairs next to the door outside for company staff.

 

What is available in the room?

These lounges are 14m x 14m areas that can be adapted to your needs with the venue. Each of the meeting rooms are set-up in the following way:

  • Boardroom set-up
  • Screen/projector
  • Water will be available on table

What do I need to submit?

Please send the following information to Romane Blondel at rblondel@theisn.org:

  • Topic
  • Agenda (this can be fine tuned later but good to have as much information as possible in the first invitation to KOLs)
  • 5 names, plus 2 additional (in case of unavailability of the first 5)
  • Names of company representative attendees (max. 10)
  • Any preference on date or time of day

The ISN will use this information to invite your chosen experts to join a roundtable organized by your company with logistics supported by ISN. These are private meetings and tehrefore ISN will not be in th e room. agenda topic is set by the industry partner. The meeting room is included with audio-visual equipment and water. All logistics (invitations and meeting room) are handled by ISN. ISN

 

Deadline

Please send us the required information by September 30, 2024. If you book after this date we will try our best to accommodate.

 

Preparation

  • One month before the meeting, you will receive details about the meeting room, time, and date of the roundtable.
  • Two weeks prior, experts will get a reminder email that includes the final agenda (developed by sponsor) along with the meeting room, time, and date.
  • On the day before the meeting, another reminder will be sent to the experts.

 

Instructions for on the day

  • Please arrive at the venue at least 30 minutes before the scheduled start time of your roundtable. An ISN staff member will be present at the information desk to welcome you and guide you to the meeting room. Additionally, a support staff member will be stationed at the main entrance to assist leaders in finding the meeting room. They will remain there for 15 minutes after the start time.
  • We will help you get settled in the room and will be available to address any queries related to catering or the technical team.
  • Ensure you bring any necessary adaptors for your laptop if you plan to use the presentation system.
  • Since this is a private meeting, ISN staff will not remain in the room but will be available outside should you need support.
  • If any of the invited experts are unavailable, an ISN staff member will reach out to them via email and phone.

 

What is the room set-up?

  • U-shape for 15 people
  • TV screen with HDMI cable
  • Name place cards will be available
  • Agenda on table
  • Refreshments and light snacks will be available and water on the table
