Move-in and move-out
Please be aware that entry will not be permitted before or after these specified times.
Exhibitors must clear their belongings, dismantle the booth’s construction elements, and restore the space and provided items to pristine condition within the designated booth breakdown period outlined in this schedule. During this dismantling phase, the security of the booth is entirely the responsibility and expense of the exhibitor. Please note that passageways in the exhibition hall must not be obstructed with packing materials, construction materials or waste.
During building and dismantling, any working staff must wear the appropriate PPE including helmet, gloves and safety shoes. All staff working in height must wear a rated full body harness that needs to be anchored to an appropriate anchor point.
Loading area
Vehicles can enter the loading dock area through gate 11. The capacity for the service lift is 2 tonnes. The size of the service lift is 4.5 x 8.5 x 8.5.
Catering
Please find the menus and fees information on the catering form. Please note that the venue does not allow outside catering. If you require additional menu options please reach out to wcn25@meetingsnmore.com directly.
Exhibitor badge holders are eligible to join for coffee breaks and provided exhibitor lunches (separated from symposia).
Cleaning
The congress organizer has arranged for the general cleaning of the aisles in the exhibition areas before open and after close. Exhibitors wishing to book additional booth cleaning must do so only with the appointed company through the booking form. The booking deadline is January 20. Cleaning crew will be provided with the necessary access/badges by congress organizers – it is not necessary to purchase any registration. Any necessary disposal of stand materials, waste etc. by the congress organizer will be at the exhibitor’s cost. During build-up and dismantling periods, independent booth-building contractors appointed by exhibitors are responsible for the removal of their own stand building/dismantling materials and waste.
Badge scanning
Companies may hire badge scanning equipment to scan participants at their booth. Scan results contain full contact details (if consented) of the delegate as made available by the congress organizer and will be provided after the congress. The hostess operating the device is included in the fee. The deadline to book is January 20, 2025. It is not possible to use an external supplier.
Electricity
All electricity installation work in the exhibition must be managed exclusively by Meetings & More.
Exhibitors are required to switch off all appliances and switches on their booth at the end of each day.
Please provide the following considerations to your independent booth contractors:
- Booth design must include sufficient electrical sockets to serve all of the equipment on the stand
- Extension leads must be no longer than 2m and only one extension lead per socket will be permitted
- The use of block sockets for multiple plugs will not be permitted
- All plugs and extension leads must be free from damage and defects
- Wiring circuits must comply with local wiring regulations and be protected by at least 30mA RCD protection
Giveaways
Gadgets that are distributed to participants should be professional in nature and should not exceed a maximum value of $10 USD per item. Sharp, pointy or dangerous objects are not allowed. The organizer reserves the right to request invoices of giveaways at any time.

Congress Rules
Exhibitors are not allowed to place stickers, signs or posters anywhere in the halls other than within their own stand and on paid advertising poster sites and billboards. Likewise, exhibitors’ representatives may not distribute brochures, invitations, etc. along the gangways or near the entrances/exits.
Exhibitors who intend to provide demonstrations or make presentations during the exhibition must strictly follow rules & regulations below:
- Such demonstration and presentation do not interfere with the conduct of business of other exhibitors in terms of sound, nor cause any smoke or fumes.
- Exhibitors are not allowed to place any display materials or exhibits beyond their contracted boundary.
- In case of use of loudspeaker for demonstration / presentation in your booth, any loudspeaker must face on to exhibitor’s stand only and maximum volume is 70 decibel my measured from distance of 3 metres away from the booth.
- Any promotional activity involving the demonstration of games, organized competitions or quizzes will need an advance permit from the organizer.
All exhibitors must be considerate of their noise levels for neighboring booths in the exhibition hall (max sound level may not exceed 85dB when measured 1 meter from stand). Activity or equipment that is considered to generate excessive noise or flashing lights is not allowed. Exhibitors must follow the relevant licensing provisions for use of music and TV on their stands.
Security
The congress organizers provide security that patrol the entire venue 24/7. However, exhibitors take full responsibility at all times for their booth and equipment (including during the set up and dismantling period). To avoid any loss or damage, it is recommended to stow away items at the end of each show day. It is possible to organize your own additional security personnel at your booth. The booking deadline is January 20. Please note that companies must not use their own staff or personnel from any other security agency.
Exhibitors and their personnel are obliged to allow the examination of objects, packages and vehicles that enter and leave the exhibition area. The organizer will have the power to prohibit the operation of equipment, machines, inflammables, etc., if they consider that it offers some type of danger or produces excessive noise.
Damages
The organizer is not responsible for any damages that may be caused by issues with light installations, electricity, drains, etc. Nor are they responsible if due to any fact and/or event, even if it is external, the interruption of these services occurs and affects the development of the exhibition. Any damages to the venue, structures, shell scheme stalls, and/or disposal of booth construction waste left on-site after the event will result in penalties for the exhibitor or contractor for any breach of the organizers’ or venue’s regulations.
Safety Procedures
Crowd management and overcrowding
For safety reasons the organizer will monitor the number of people coming into the exhibition hall and might limit access in case of overcrowding.
Emergencies and fire safety
The essential access routes, marked by no-stopping signs, and the movement zones for the emergency evacuation/services must be always kept clear. Vehicles and objects parked or deposited on the emergency exit routes and safety areas will be towed immediately.
The emergency exit routes must be always kept clear. Exhibitors are not permitted to store their empty cartons or packing materials behind or between booths. In an emergency, the exhibition aisles are used as emergency exit routes. Materials needed for stand construction or exhibits delivered for immediate setting up on the stand area can be deposited in the hall (designated area) briefly during the setting-up and dismantling phase. Areas in front of emergency exits and the crossings of the hall aisles must be always kept free. The hall aisles must not be used for setting up assembly locations or for setting up machines (e.g. workbenches, etc.). Sprinklers, fire alarms, fire extinguishing equipment, trigger points for smoke extractors, smoke alarms, fire curtains, closure devices for the hall entrances and other safety equipment, the corresponding signs as well as the green emergency exit signs must be accessible, and visible at all times; they may not be obstructed or built over.

Shipping and Material Handling
Kristal Logistics is equipped to manage all shipping requirements to New Delhi. As the official freight forwarder for WCN’25, Kristal provides a variety of services, including material handling, storage, freight, and more. They operate globally and collaborate with local partner Siddharta Logistics, which has a warehouse conveniently located near the airport and a partnership with the event venue. Goods must be received at the airport warehouse at latest 10-days before the agreed delivery at IICC.
Please note that all shipments and deliveries must be made in consultation with Kristal. Please do not arrange to ship anything to the location without consulting them. Advance shipments to the venue are not permitted prior to the move-in date. to If you have any questions or would like to request a quote, please reach out to: wim.poels@kristal-logistics.com or info@kristal-logistics.com. Kristal logistics will share with companies directly the Stand Contractor Form for all to fill out before December 20.
Order Material Handling & Freight
Wi-Fi
If your booth activities demand a robust internet connection or substantial bandwidth, it is essential to request a dedicated WiFi connection point. While general internet access will be available for delegates at WCN’25, the organizers cannot guarantee reliability for your specific booth requirements due to the high volume of simultaneous logins. To prevent any connectivity issues, we highly recommend securing your WiFi. The booking deadline is January 20.
What is included in the standard shell scheme?
Each 3m x 3m shell scheme package contains the following:
- 1 table
- 2 chairs
- 1 waste basket
- 3 spots
- 1 electrical outlet
Display of your company name on the booth
A board at the top front of booths, referred to as the ‘fascia,’ will showcase the name of the exhibiting company (without a logo). The fascia will feature the text from the ‘company field’ that you provided in the original booking form when securing your space. If you wish to modify this, please contact WCN25@meetingsnmore.com before January 20, 2024.
It is possible to customize your fascia sign with your own artwork. Please complete the order form ‘Decorations’ by January 20, 2025. Artwork must also be submitted to WCN25@meetingsnmore.com by January 20. The fascia dimensions are 60 inch (W) x 12 inch (H).
Making changes to the booth
Yes, it is possible to upgrade and customize the standard shell scheme package by ordering additional furniture, decoration and branding, different carpet color and other utilities. It is also possible to order temporary staff, security and cleaning crew. Please find the information in the forms.
Corner booths
Dividing partitions will be presented between stands executed in modular aluminum structures with white laminate panels. Corner booths will be open on 2 sides by default. Should you wish to close one side of your corner booth please reach out to rblondel@theisn.org before January 20, 2025.
Electricity
Basic electricity is included in your shell scheme package. In case of ordering additional appliances to upgrade your shell scheme booth you must order additional power supply too. The booking deadline is January 20.
Damages
Exhibitors are not allowed to place any display materials or exhibits, nor extend their booth structures and fittings, beyond their contracted boundary
Panels may not be perforated or painted, materials that can be removed without damaging the surface may be glued and may not be used as a support structure for the booth.
The replacement cost of the panels that are damaged when dismantling each stand will be borne by the exhibitor and will be communicated in a timely manner.
Exhibitors – when taking possession of their space – must notify the organizer of any deterioration that may exist in both the panels and the floor at the time of taking charge of the acquired space.
What is included?
Exhibitors who opted for customized booth will be given exhibition floor space only, without wall partition, basic furniture, electricity and other utilities. Exhibitors have to design and construct their own booths.

Submit your booth plans
You need to submit your customized design to exhibitionwcn25@meetingsnmore.com by December 9, 2024. All elements below must be provided in the same email. Plans must include the following:
- Architecture dimensional drawing in scale 1:50 including plan, section, perspectives and views with all their dimensions specifying the material to be used, lighting and any aspects that facilitate the reading of the booth
- Risk assessment, to include fire hazards and method statement
- Booth number + company name
- Name of booth contractor and contact details (if different than the one advised by WCN)
- List of equipment to be brought into the hall during construction and dismantling
Height restriction
For all exhibitors, the walls that connect to adjacent booths must be 3 meters high. It cannot be any lower or higher to avoid parts of walls unfinished on display.
Exhibitors with booths measuring 18 square meters or more are allowed to build features and walls within their space, with a maximum height of 5 meters. However, it is important to note that all adjoining walls must still maintain the height of 3 meters.
Booth boundaries and design restrictions
Exhibitors are not allowed to place any display materials or exhibits, nor extend their stand structures and fittings, beyond their contracted boundary.
- Each booth needs to have its own panel and it is not permitted to use the neighboring booth’s panel.
- No element of the booth can exceed the limits of the space, both in plan and height.
- Island booths are not allowed to construct full solid wall in all sides.
- Booth fronts: it is allowed to close with opaque panels up to 50% of each front that looks towards corridors of common circulation (as long as they include photographs, showcases, logos, etc.) This rule also applies to opaque elements that are removed from the front up to 1.0m.
Rigging
This hall does not have the facilities for rigging.
Obstructing gangways
No part of any booth or exhibit, including fascia, signs, lighting, corner posts, etc. shall project into or over the gangway or obscure any fire or exit signs and the organizer reserves the right to remove any such item. It is strictly forbidden to build across gangways.
Accessibility
WCN should be accessible for all. In booths with a floor level equal to or above 2 cm height, please make sure to include an access ramp for pedestrians and wheelchairs in your booth design. The ramp must follow the below criteria:
- it should not be greater than 10m, or have a rise of more than 500mm.
- it should have a minimum, unobstructed width of 1.5m.
- the surface must be slip-resistant, especially when wet
- handrails must be provided on both sides of a ramp
Prohibitions
- It is prohibited to use paint for marking. Marking shall be done with masking tape only.
- Compulsory to lay used carpet before unloading the stand material and construction of stand.
- Venue floors need to be protected while doing painting, fabrication and other job.
- All constructions must rest on the existing floor without damaging it. Any damage caused by an exhibitor will be evaluated by the organizer and its payment will be borne by the exhibitor
- Carpentry, cutting & sawing inside the halls is prohibited.
- The use of LPG, welding and other fuels, spray painting, nitrate paints, lacquers, grinding, varnishing & buffing is strictly prohibited.
- Nailing, drilling & grouting on the venue walls and/or floor is strictly prohibited further laying any material or taking support from the walls or pillar is strictly prohibited & will be penalized if found.
- The closure or physical and/or visual obstruction of the emergency exits of the exhibition premises is totally prohibited.
- It is totally forbidden to hang or fix elements of any structural element of the pavilions (ceilings, beams, columns, etc.)
Construction materials
- All construction materials must be of the lowest possible combustibility or fireproof.
- All masonry materials, bricks, cement, plaster mixtures or any type of wet construction are prohibited.
- Combustible materials (for example, brochures) inside the booth must be limited to those required for one day of exhibition. The storage of combustible materials behind the stands is prohibited.
- Exhibitors may not have combustible, flammable, or explosives inside the booth, nor may they operate internal combustion engines.
- Balloons inflated by hydrogen, helium or the like are prohibited.
Contractors
Exhibitors may appoint their own contractors for booth building/design. Exhibitors need to make sure all contractors have read this manual before starting their work. Contractor names and contact details should be submitted to WCN25@meetingsnmore.com when submitting the booth design. A number of access wristbands will be issued for contractors and builders based on booth size (additional can be requested at no extra cost):
- up to 18 sqm: 5 wristbands
- above 19 sqm: 10 wristbands
Forms
Please submit the forms relevant to your booking. Please note that these orders can only go through the official suppliers provided below. External suppliers are not permitted. The booking deadline is January 20. The order deadline for freight is December 20.
GST stands for Goods and Services Tax. It is a single tax levied on the supply of goods and services, right from the manufacturer to the consumer. The GST system aims to simplify the tax structure by integrating various indirect taxes like VAT, service tax, and excise duty into one. GST must be paid at the time of booking by all. Companies, whether international or local, may or may not be able to reclaim the 18% GST from Indian authorities by following specific procedures.
Please find below the reasons why GST is added to invoices:
Tax Compliance: GST is a statutory requirement, and businesses are required to collect this tax on behalf of the government. Including GST on invoices ensures that the business complies with tax regulations.
Revenue Generation: The tax collected is a revenue source for the government, helping fund public services and infrastructure.
Input Tax Credit: Businesses can claim a credit for the GST paid on their inputs, which offsets the GST they collect from customers. This helps in avoiding tax cascading and ensures that tax is levied only on the value added at each stage.
Transparency: Including GST on invoices provides transparency to both the buyer and seller, clearly showing the tax component and making it easier to track and manage tax obligations.
Overall, adding GST to invoices is part of ensuring a fair and transparent taxation system, while also adhering to legal requirements.
The additional services taking place in India are coordinated by MnM and ordered through local suppliers therefore the rates are in both INR (Indian Rupee) with the USD conversion rate. All of the supplementary services, such as catering, audiovisual equipment, booth furniture, badge scanners, etc., will be coordinated and billed through our local partner Meetings and More. This is to ensure that you only have one additional vendor rather than multiple vendors for each service.
