Please see below the maximum contributions available by region:

• $400 USD – Philippines, Indonesia, Vietnam
• $450 USD – India, Laos
• $600 USD – Mongolia, Bangladesh, Nepal, Sri Lanka, Myanmar
• $700 USD – Pakistan
• $800 USD – All other low and lower-middle income countries

The travel grant may only be applied towards:

• Economy travel from your home country airport to Tokyo airport
• Travel from Tokyo airport to the course hotel
• Japanese visa

Please note, travel grants are meant to provide a contribution to your travel costs, but will not cover all travel costs.

23 June 2023 – You will receive a notification if your travel grant application was successful or not (applications are reviewed in batches; earlier applicants may receive notification earlier)

17 July 2023 – Deadline to accept the travel grant by responding to the email notification

2 November 2023 – Deadline to submit receipts and forms to receive the travel grant

You will only receive the grant funding following course completion and submission of the required forms (reimbursement form, W8/W9 and all receipts).

• Free registration to the course.
• Lunch and refreshments will be provided on both course days.
• Complimentary three nights hotel stay (30 September – 3 October) for the first successful 100 registrants living outside of Tokyo, with priority given to those in low and lower-middle income countries.
  • Participants must send proof of travel arrangements to GNcourse@theisn.org by Friday, 28 July 2023 in order to secure the complimentary three nights stay in the course hotel provided or their registration will be cancelled.

All other costs are the responsibility of the individual.

Any cancellation or change to your registration must be done in writing to GNcourse@theisn.org.

If you cancel your registration for any reason including failure to obtain a visa, you are responsible for any costs incurred (e.g. travel and visa). The responsibility for procuring health/accident and travel insurance remains with you

Your cancellation will also be subject to the following conditions:

• On or prior to Friday, 28 July 2023 there is no penalty for cancellation.
• From Saturday, 29 July 2023 onwards, the individual is responsible for reimbursing the cost of the three night hotel stay (if applicable).

If you received a travel grant and cancel your registration, you will no longer be eligible to claim the travel grant.

• If you accept a travel grant for this course and then are unable to attend, you will not receive any reimbursement.
• Please note these grants are for people with no other sources of support to travel to this course. We would be grateful if you could let us know before Friday, 28 July 2023 if you have other support so we can offer the grant to another applicant.
• You will only receive the grant funding following course completion and submission of the required forms (reimbursement form, W8/W9 and all receipts).
• The travel grant can only be used to cover:
  • Economy travel from your home country airport to Tokyo airport
  • Travel from Tokyo airport to the course hotel
  • Japanese visa

Data collected by the organizers will only be used to manage your registration for the course and to provide you and other participants with relevant information about your attendance. Data may be shared with the local professional congress organizer (PCO) for planning purposes and with the course hotel to book your accommodation, but will never be shared with other third parties without your expressed and recorded consent.

Information collected during the registration process will be used to process your registration, book your hotel room, as well as ensure you receive a congress badge, certificate of completion, and travel grant (if applicable). Without this information, we will be unable to properly process your registration. The recipients of the data are the course organizers, the local PCO and the course hotel. Data will be stored and used in a secure environment.

In accordance with the chapter 3 of the European Regulation 2016/679 with regards to data protection, you have the right to request from the course organizers, access to and rectification or erasure of your personal data or restriction of processing concerning your data. For such request, please contact GNcourse@theisn.org (be aware that a proof of identity will be requested during the process).

The International Society of Nephrology (ISN) and Asian Pacific Society of Nephrology (APSN) will take photos during the course. These images will be used by the ISN and APSN to share news about the course and promote future courses. Images may be used on the ISN and APSN websites, in ISN and APSN news, printed publicity and published on the ISN’s and APSN’s social media and e-mails. They will be stored securely on the ISN and APSN servers. If you would prefer not to be photographed, please email GNcourse@theisn.org at any time

To deliver high-quality experience, course organizers will provide a safe and welcoming environment where participants can share information and ideas in a professional, positive, and friendly way.

Course organizers will not accept any intimidating, harassing, abusive, discriminatory, derogatory, or demeaning speech or actions. This includes but is not limited to offensive verbal comments related to gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion, technology choices, deliberate intimidation, and stalking.

All attendees, including speakers, sponsors, vendors, partners, and staff are expected to adhere to the following code of conduct:

• Be considerate, respectful, collaborative, and inclusive,
• Participate in an authentic and active manner,
• Refrain from demeaning, discriminatory, prejudicial, or harassing behavior and speech,
• Do not use inappropriate language and images,
• Do not engage in harm or threats of any kind,
• Do not inappropriately disrupt presentations and talks,
• Do not make audio or visual recordings of slides, Q&A, discussions without presenter/author’s permission.

Attendees can report inappropriate behavior to the course organizers at GNcourse@theisn.org In case of inappropriate behavior, course organizers reserves the right to take any action deemed necessary without warning, including non-distribution of travel grant (if applicable), and they reserve the right to refuse attendance at future ISN or APSN meetings, virtually or in person.
